Booking & Pre-Payment

Full pre-payment is required to confirm a booking. Bookings made by telephone or email will be held provisionally for 24 hours while payment is completed via a secure payment link. Cancellations

Cancellations

Standard bookings. Bookings may be cancelled up to 72 hours before arrival. With at least 14 days' notice, guests may choose a refund or hotel credit. With 72 hours to 14 days' notice, hotel credit will be offered. With less than 72 hours' notice, the full booking charge applies and payments are forfeited.

Christmas, New Year & special events

Bookings may be cancelled up to two weeks before arrival. Cancellations before 1 November receive a 50% refund or hotel credit. On or after 1 November, the full booking charge applies and payments are forfeited.

Group Bookings

Provisional reservations are normally held for up to 10 working days and may be released without notice. A booking is confirmed once the agreed deposit has been paid and, where required, a contract signed. Full payment is usually required at booking.

Cancellations within four weeks of the event are charged in full. With at least four weeks' notice, a 75% refund or 100% hotel credit will be offered. Cancellations must be made in writing.

Rates apply only to the dates quoted. Incidental charges must be settled on departure. Final details,including rooming lists, dietary requirements, timings and pre-orders, are required at least two weeks before the event.

Travel Insurance

We recommend appropriate travel insurance for all hotel bookings to cover unexpected changes or cancellations.

Check-In & Check-Out

Check-in is from 3pm and check-out is by 11am. Early check-in may be requested but cannot be guaranteed; if essential, please book the previous night. Late check-out may be requested on the morning of departure and may be available until 12 noon; for a later departure, please book the following night.

If a room is not vacated by the agreed time, our team may pack and remove luggage so the room can be prepared for arriving guests.

Service Charge
A discretionary 12.5% service charge is added to food, beverage and treatment bills.

Children & Families

Children are welcome when booked in advance into a suitable room. A charge of £40 per child, per night applies.

Family accommodation includes the Hadspen Family Room, Gate Lodge and A Room with a View for up to two adults and two children, and Hayloft & Woolsack for up to two adults and three children.

Many rooms can accommodate a cot, and two ground-floor Clock House rooms can take an extra bed. Children's beds are 10cm shorter than standard adult beds.

Spa, Pool & Gym Access for Under-18s

Children aged 15 and under may use the Spa pool with adult supervision during children's swim times: 9am-10am, 1pm-2pm and 4pm-5pm. Guests aged 16-17 may use the Spa pool at any time when supervised. Under-18s may use the Farmyard Pool at any time with supervision.

Under-18s must be accompanied by an adult for body treatments.

Guests aged 16-17 may have facials without a parent or guardian in the room; ages 12-15 require one to be present.

Body and facial treatments are not recommended for under-12s. Nail treatments are available at any age, with a shorter file-and-paint treatment recommended for younger guests.

Children aged 16 and under must be supervised by a parent or guardian in the gym.

Pets & Assistance Dogs

Pets are not permitted on the estate, including in vehicles, except assistance dogs. Animals must never be left unattended in a vehicle.

The Newt follows the definition of an assistance dog under the Equality Act 2010; emotional support dogs are not currently recognised under this definition.

Accessibility

We have two accessible hotel rooms: a Hadspen Cosy Room and a Farmyard Room with a Private Steam Chamber. Please confirm availability with our reservations team before booking. Many rooms have steps, and some estate paths are steep or uneven. Most attractions have step-free access, but suitability depends on individual requirements. The first floor of the Roman Villa is accessible by staircase only. Please contact us in advance so we can recommend the most suitable options.

Air Conditioning

Some rooms have fixed air conditioning, while Dyson fans and portable units are available on request. If air conditioning is important, please mention this when booking; requests cannot be guaranteed.

Fixed air conditioning is currently available in 2 of 3 Hadspen Cosy Rooms, all 4 Hadspen Loft Rooms, 2 of 4 Clock House Rooms, A Room with a View, 3 of 5 Farmyard Rooms with a Private Steam Chamber, and 1 of 4 Farmhouse Rooms.

Lost Property
The Newt cannot accept responsibility for lost property. Found items are normally kept for up to three months, after which they may be donated or disposed of. Large items may be kept for less time.

Where an item is found, return by courier can be arranged at the owner's cost.

Property Damage

Guests will be charged for damage to The Newt's property or for property removed from the estate.

Buggy Use
Guests must sign the relevant disclaimer before using a buggy. Drivers must be over 18, hold a full driving licence, wear a seat belt and ensure all passengers do the same.

Drivers are responsible for their own safety, their passengers and possessions.

Buggies must not be used under the influence of alcohol or illegal substances, driven recklessly or used outside designated buggy tracks. Drivers should keep left when meeting oncoming vehicles, slow for pedestrians, and use headlights in darkness, fog or poor visibility. Directions provided by The Newt do not guarantee a right of way. If a buggy develops a fault, contact The Newt and do not attempt repairs.

The Newt is not liable for accidents except in respect of death or personal injury caused by its negligence. Guests are responsible for loss, costs, claims or expenses arising from improper use.

Drivers must not use a buggy where a medical condition could increase the risk of an incident.

Buggies may only be used on the designated tracks between Coach House and Farmyard, and between Threshing Barn and the Roman Villa. They must not be used in pedestrianised garden areas.

Force Majeure

If The Newt is prevented from fulfilling its obligations by circumstances beyond its reasonable control, its liability will be limited to refunding sums paid for services it cannot provide. This may include extreme weather, natural disasters, terrorism, fire, utility or equipment failure, structural collapse, government action, pandemics, strikes, labour disputes, accidents and emergency repairs.
